Description of the process and intervention: In an effort to improve the community health improvement planning (CHIP) process, the agency used a prioritization matrix to identify what was inhibiting the CHIP process and found that community sector participation need to be enhanced. The goal of this QI effort was to increase meeting attendance by 60% and increase the average score on the meeting effectiveness survey to 4. After mapping the process using a flowchart and using a fishbone diagram to identify the root cause of the problem, it was apparent that the current process did not make maximum use of partner time. The improvement theory was that if the agency demonstrates respect for partner time by providing agendas in advance, outlining clear and concise goals, requesting RSVPs for meeting participation, and soliciting feedback, then the number of community partners represented and the score on the meeting effectiveness survey will increase. To test this theory, a series of meetings were launched and the intervention was implemented.
Result/outcome: As a result of the meeting planning, community sector participation increased from 40% to 70% and meeting satisfaction scores increased from an average of 3.4 to 4.6.
Next Steps: The agency will standardize this approach to meeting planning and expand the coalition participants to include all community sectors and apply the approach to all community engagements.
